Film and Event Crews: Hotel Rooms for a Month

Published Oct 21, 2026

A month-long shoot, a touring production, a season of events at one venue: the crew needs beds, not apartments. A hotel can handle rotating headcounts, odd hours and one invoice in ways a landlord usually cannot. The trick is to book as a production, not as a pile of separate travelers.

What a production needs from a hotel

  • Parking that fits the vehicles you actually bring, including trucks and vans, with height or trailer limits confirmed in advance.
  • Early mornings: grab-and-go breakfast, coffee before the official hours, or a kitchenette in every room.
  • Laundry that survives daily use, on-site or very close.
  • Rooms near each other, on one floor if possible, with a couple of rooms held as flexible.
  • One contact, one invoice, one folio per room or per week, however your accounting wants it.

Book as a production

Talk to the hotel's sales contact, not the front desk. Say what you are: a crew, the dates, the room count, the vehicles, the working hours. Hotels that want this business will often quote a crew rate, and month-long stays are where they have the most room to move on price. Everything you agree belongs in one email thread you can forward to the line producer.

Terms to fix in writing

  • The rate per room and what it includes: parking per vehicle, breakfast, internet, laundry.
  • Headcount flexibility: adding or releasing rooms as the schedule changes, and the notice the hotel needs.
  • Early departures and wrap-date changes, which productions often have.
  • Housekeeping rhythm, because crew rooms get used hard.
  • Billing: deposit, payment schedule, and whether the production company card can cover all rooms.

The location math

The right hotel is usually not the closest one on the map, it is the one with the simplest drive at 5 a.m. Check the real morning route to set or venue, the parking when the crew returns at night, and what is open for food at crew hours. Ten minutes of map time beats a week of complaints.
